Las Vegas Destination Wedding Checklist

A month-by-month timeline from KayC Events — built from real out-of-town weddings.

A Las Vegas destination wedding has its own rhythm. No state residency requirement, plenty of nonstop flights, and a deep vendor bench mean you can plan a beautiful wedding from anywhere — if you sequence the decisions correctly. Here's the checklist we use with every KayC Events destination couple.

12+ months out

  • Set a guest count range and a total budget. Both move every other decision.
  • Pick a date window (a 3-weekend span is more useful than one date).
  • Engage a Las Vegas planner. Local representation is what makes destination planning work.
  • Tour 3–5 venues virtually or in person. Sign with one.

9–12 months

  • Book your photographer, videographer, and band or DJ — Las Vegas talent books out fast.
  • Lock the room block at your host hotel. Negotiate concessions before you sign.
  • Send save-the-dates with the host hotel link.
  • Start the design conversation — palette, florals, stationery, lighting.

6–9 months

  • Book florals, rentals, hair and makeup, and any specialty vendors.
  • Plan welcome event, rehearsal dinner, and Sunday brunch if you're doing the full weekend.
  • Confirm transportation: shuttles, getaway car, airport transfers for VIP family.
  • Order attire and start fittings.

3–6 months

  • Send formal invitations with weekend itinerary.
  • Order stationery, signage, menus, and welcome gifts.
  • Confirm officiant and start writing ceremony with your planner.
  • Plan a planning trip to Las Vegas — tastings, final venue walk-through, design review.

1–3 months

  • Finalize guest count and seating chart.
  • Approve final timeline with planner. Distribute to all vendors.
  • Confirm hair and makeup schedule for the wedding party.
  • Plan rehearsal dinner details and welcome bags.

Wedding week

  • Pick up your Clark County marriage license in person. The Marriage License Bureau is open daily; both partners must appear with ID.
  • Final vendor confirmations (your planner handles this).
  • Rehearsal and rehearsal dinner.
  • Wedding day. Hand over the phone — your planner runs everything from this point.

Three destination-specific things people forget

  • License timing. You must apply in person in Clark County, but there's no waiting period.
  • Heat planning. May through September outdoor ceremonies need shade, water stations, and early or late start times.
  • Guest experience. Out-of-town guests appreciate a printed weekend itinerary, transportation, and a recommended-restaurants list.
